Privacy statement for applicants

GENERAL

In the context of an application to Sentyron B.V., or in relation to potential candidates for future vacancies, we process certain personal data. This privacy statement provides information about the processing of personal data of applicants by Sentyron B.V. (Chamber of Commerce number: 27262642). Sentyron may update this privacy statement from time to time. In the event of significant changes, Sentyron will publish the updated statement on its website or contact you directly. Sentyron will choose the method most appropriate for the situation.

APPLYING AT SENTYRON

When you apply at Sentyron, Sentyron processes the following data: (i) personal, contact, and identification details, (ii) your application and any attachments (such as your CV, references, and diplomas), (iii) assessment results (if applicable to the position), (iv) data related to pre-employment screening (if applicable to the position), and (v) any other information provided voluntarily. This data is processed because it is relevant for assessing your application. In some cases, we may receive this information not directly from you but from a recruitment agency. In addition, Sentyron processes: (i) the date of your application and interview, and (ii) all internal correspondence and notes related to your application (for example, availability and salary expectations). Sentyron uses the aforementioned data to evaluate each candidate and ultimately determine who will be employed at Sentyron. Access to personal data is restricted to those who require it for the purposes for which it was collected. This includes HR employees and other individuals involved in the recruitment and selection process.

PURPOSES

Sentyron uses this data for the following purposes:

  • Selecting suitable candidates and carrying out the application process.
  • Preparing and entering into (employment) agreements.
  • Responding to your questions and providing information.
  • Conducting pre-employment screening (for certain positions).
  • Communicating about and inviting you to recruitment activities.
  • Maintaining accurate administration and internal management.
  • Handling any complaints.

Legally, we do this because we have a legitimate interest in using the data for these purposes. In some cases, we also process your data based on your consent. And if we offer you a job, we will use part of this data to draw up your contract with us.

CONSENT

If the processing of your personal data is based on your consent, you may withdraw this consent at any time. Please note that withdrawing your consent does not affect the lawfulness of any processing carried out by Sentyron prior to the withdrawal. In certain cases, Sentyron may continue to process your personal data after your withdrawal if another legal basis for processing applies.

SECURITY

Sentyron protects your personal data with a range of security measures and takes appropriate steps to safeguard your personal data against destruction, loss, alteration, unauthorized disclosure, or unauthorized access. These safeguards are regularly evaluated to ensure that Sentyron maintains an adequate level of protection. Individuals working for Sentyron are contractually bound to confidentiality and must comply with Sentyron’s instructions aimed at ensuring adequate protection of your data.

Despite Sentyron’s efforts, it is not possible to guarantee complete security. Therefore, Sentyron has also established robust response plans – so that if something does go wrong, Sentyron can take measures intended to prevent it from happening again. If you suspect that your personal data has not been properly secured, or if there are indications of unauthorized access, disclosure, or use, we kindly ask you to inform Sentyron immediately at: privacy@sentyron.com.

RETENTION PERIOD

Sentyron does not retain your personal data longer than necessary for the purposes described in this Privacy Statement. The data of applicants who are rejected during the application process or who withdraw their application will be deleted within 30 days after the end of the procedure. If you have given consent for your data to be retained longer, it will be deleted after 12 months, allowing Sentyron to contact you in the meantime for possible future vacancies. If you enter into employment with us, your application data will become part of your personnel file.

THIRD PARTIES

Sentyron may engage service providers (processors of personal data) to process personal data on our behalf, such as our online recruitment platform. Sentyron uses the platform provided by Tellent Recruitee (www.recruitee.com/). Sentyron enters into contracts with such service providers to ensure that your personal data is processed only insofar as necessary to perform services on our behalf, and to ensure that appropriate data security measures are implemented to protect the data.

Sentyron also uses external parties to conduct applicant screenings. Where relevant, Sentyron shares your personal data with these parties, for example, to contact you or to carry out mandatory checks by government authorities. Conducting a pre-employment screening is in our legitimate interest and helps us form a complete picture of an applicant, including in terms of reliability and integrity. Although participation in the pre-employment screening is not mandatory, it is required in order to be considered for employment. If a candidate chooses not to share the required information or not to undergo the screening, Sentyron cannot further assess the application and no (employment) offer can be made.

TRANSFER OF PERSONAL DATA OUTSIDE THE EEA

Sentyron may use the services of third parties to process your personal data in accordance with this privacy statement. These parties may be located outside the European Economic Area (EEA) or use servers located outside the EEA, for example in the United States. The level of data protection in these countries may be lower than within the European Union. If this is the case, Sentyron will implement appropriate safeguards, such as entering into agreements based on the standard contractual clauses approved by the European Commission (Article 46 GDPR).

IMPORTANT

It is important to emphasize that we will never trade or sell your personal data for any form of compensation. Your personal data will also not be used for automated decision-making.

LEGAL PROCEEDINGS / LEGAL OBLIGATIONS

In addition to the purposes described above, Sentyron may process some or all of your data to establish, exercise, support, or defend (potential) legal claims, including anything reasonably related to them, or when processing is necessary to comply with a legal obligation to which Sentyron is subject. In such cases, Sentyron may retain the personal data longer than the retention period mentioned earlier. Sentyron will keep this data for as long as legally required for these purposes. In such cases, this personal data is stored separately from other information.

YOUR PRIVACY RIGHTS

Under the GDPR, you have various rights regarding your personal data, such as the right to access, correct, delete, restrict processing, object, and data portability. Please note that these rights are subject to conditions and cannot always be exercised without limitations.
